GST invoice format for freelancers

A GST tax invoice for services has the same parts every time. Here is a simple one for a designer billing a client in another state, so the tax is IGST.

  1. 1Your details. Name, address, GSTIN and state, at the top.
  2. 2Title and number. "Tax invoice", a unique invoice number and the date.
  3. 3Client's details. Name, address and state, plus their GSTIN if they are registered.
  4. 4Place of supply. The client's state. It decides CGST + SGST (same state) or IGST (different state).
  5. 5Line items. A description, SAC code, quantity, rate and amount for each service.
  6. 6Tax and total. Taxable value, the GST rate and amount, and the total, in figures and in words.
  7. 7Reverse charge and signature. Whether tax is payable on reverse charge (usually no), and your signature.

How to number your invoices

  • Each invoice needs its own number, in order, with no gaps or repeats within a financial year (April to March).
  • Keep it to 16 characters or fewer, using letters, numbers, hyphens (-) and slashes (/).
  • Putting the year in the number keeps each year separate, for example FY26-27/001, then FY26-27/002.
  • Don't reuse a number after cancelling an invoice. Issue a credit note and a new invoice instead.

The generator fills in the next number for you when you click "Next invoice".

How to send an invoice as a freelancer

  1. Download the PDF and check the client's name, GSTIN and state against their records.
  2. Email it with a clear subject, for example "Invoice FY26-27/004 from Asha Rao Design: website redesign".
  3. Put the due date and your bank or UPI details on the invoice itself, not only in the email.
  4. Follow up politely on the due date, and again a week later if needed.
  5. Keep a copy of every invoice. If you're registered, you report them in your GST returns.

For new clients, agree payment terms and a deposit up front: deposits and payment terms.

Questions about GST invoices

What details must a GST invoice include?

Your name, address and GSTIN; a unique invoice number (up to 16 characters) and the date; the client's name and address, and their GSTIN if they are registered; the place of supply; a description and SAC code for each service; the taxable value, GST rate and the CGST, SGST or IGST amount; the total; whether tax is payable on reverse charge; and your signature. This generator includes all of them.

Should I charge CGST and SGST, or IGST?

It depends on the place of supply. If your client is in the same state as you, the GST is split into CGST and SGST (9% each at 18%). If the client is in another state, you charge IGST (18%). The generator works this out from the two states.

How do I invoice a client outside India?

Services for a client abroad, paid in foreign currency, usually count as an export of services, which is zero-rated. If you have filed a Letter of Undertaking (LUT) on the GST portal, you charge no IGST and mention the LUT on the invoice. Without an LUT, you charge IGST and claim a refund later. You can bill in the client’s currency.

I'm not registered for GST. Can I still use this?

Yes. Turn off "I'm registered for GST" and the invoice charges no GST. Service providers generally have to register once their turnover crosses ₹20 lakh in a year (₹10 lakh in some special category states). If you're close to the limit or work with foreign clients, check with a CA.

Which SAC code should I use?

SAC codes classify services. Common ones for freelancers are 998314 for IT design and development, 998313 for IT consulting, 998391 for design work and 998361 for advertising. If you are unsure which fits your work, ask your CA.

Is my data saved anywhere?

Only in your own browser, so your details are filled in next time. Nothing is sent to our servers, and clearing your browser data removes it.

This is general information, not tax advice. For your own situation, check with a CA.
